Job summary
This is an exciting opportunity to join our newly structured team in a brand new role and help shape how we work across our Practice.
We have recently brought our services together as one Practice serving the town, creating opportunities to strengthen how our teams work to support patient care.
As part of our new structure, we have created this new Rota & IT Support Administrator position. This is an opportunity for someone who is organised, proactive and confident with IT to develop within the role and contribute to establishing effective systems and processes.
The role combines clinical and room rota administration with first-line IT support, making it a varied position supporting the smooth day-to-day running of our clinical services.
You will be responsible for creating, maintaining and applying clinical rotas within SystmOne, and organising room rotas, ensuring services are accurately scheduled and appropriately resourced. You will also provide first-line IT support to Practice colleagues, helping to resolve routine IT issues and ensuring Practice equipment and systems remain operational.
Working closely with the Clinical Services Manager, you will identify rota gaps, conflicts and room allocation issues, escalating matters appropriately and communicating changes promptly.
As this is a newly created role, we are looking for someone who is keen to develop with the position, contribute ideas and help us establish effective ways of working.
Main duties of the job
Create, maintain and apply clinical and room rotas within SystmOne accurately and within agreed timescales.
Keep rotas up to date to reflect annual leave, sickness absence, study leave and other operational requirements.
Monitor rotas and identify gaps, conflicts and room allocation issues, escalating these appropriately.
Work closely with the Clinical Services Manager to support effective rota planning.
Communicate rota changes promptly and accurately to relevant colleagues.
Support the effective use of clinical rooms and Practice resources across all Practice sites.
Provide first-line IT support to Practice staff, resolving routine hardware, software and connectivity issues.
Provide support with computers, printers, telephones and other Practice IT equipment.
Assist colleagues with routine IT queries and problems, providing clear and appropriate guidance.
Liaise with external IT support providers when issues require specialist intervention and follow up outstanding issues where appropriate.
Maintain appropriate records of IT issues and support provided.
Support the implementation and maintenance of digital and administrative processes.
Identify opportunities to improve rota, IT and administrative processes and contribute to service improvements.
Undertake other reasonable duties appropriate to the role and level of responsibility.
